At AGAMA Tours, every safari is designed to bring guests closer to Tanzania’s landscapes, wildlife and communities while respecting the places and people that make each journey extraordinary.
These Terms & Conditions establish the framework for booking, payment, travel arrangements, cancellations, guest responsibilities and responsible tourism.
1. Booking & Confirmation
A safari booking becomes confirmed once:
- The itinerary has been agreed upon by the guest and AGAMA Tours.
- The required deposit has been received.
- AGAMA Tours has issued written confirmation of the booking.
A booking confirmation will include the agreed itinerary, accommodation, safari services, number of travellers, pricing and payment schedule.
Bookings are subject to availability at the time of confirmation.
2. Safari Pricing
The confirmed safari price covers only the services specifically stated in the quotation or booking confirmation.
Depending on the itinerary, the price may include:
- Private 4x4 safari vehicle
- Professional safari driver-guide
- National park and conservation-area fees
- Accommodation
- Meals specified in the itinerary
- Drinking water during safari
- Airport, hotel or agreed-location transfers
- Government taxes applicable at the time of booking
- Conservation or concession fees specifically stated in the itinerary
Unless expressly included, guests are responsible for international flights, visas, travel insurance, personal purchases, alcoholic beverages, gratuities and other personal expenses.
AGAMA Tours will clearly identify major inclusions and exclusions before confirmation.
3. Payment
The payment schedule will be stated in the individual safari quotation.
For private and tailor-made safaris, a deposit may be required to secure accommodation, permits, park arrangements and other services.
The remaining balance must be paid according to the payment schedule provided with the booking confirmation.
For bookings made close to the departure date, full payment may be required before services can be confirmed.
4. Cancellation by the Guest
Cancellation requests must be submitted to AGAMA Tours in writing.
Cancellation charges may apply depending on:
- The date of cancellation
- Accommodation cancellation policies
- Park and conservation authority regulations
- Airline or transport conditions
- Third-party supplier terms
- Non-refundable deposits or prepaid services
Because luxury safari arrangements often involve advance payments to lodges, camps, conservation authorities and other suppliers, some services may be non-refundable.
The applicable cancellation terms will be communicated to the guest before or at the time of booking.
5. Changes to the Safari
AGAMA Tours understands that travel plans can change.
Guests may request itinerary changes after confirmation. Changes are subject to availability and may result in additional costs.
Changes to accommodation, dates, destinations, vehicle arrangements or other services may require the cancellation and rebooking of existing reservations.
Where possible, AGAMA Tours will provide suitable alternatives.
6. Changes by AGAMA Tours
Safari conditions can occasionally change because of weather, wildlife movements, road conditions, conservation regulations, park restrictions, accommodation availability or other circumstances beyond our reasonable control.
AGAMA Tours reserves the right to make reasonable adjustments to an itinerary when necessary for:
- Guest safety
- Conservation requirements
- Operational feasibility
- Government or park regulations
- Weather or natural conditions
- Availability of accommodation or other services
Where a significant change is necessary, AGAMA Tours will communicate the situation to the guest and seek the best practical alternative.
7. Wildlife & Safari Experience
A safari takes place in a natural environment.
Wildlife sightings are never guaranteed.
Animals move freely and conditions can change from day to day. AGAMA Tours cannot guarantee sightings of particular species, including lions, elephants, cheetahs, leopards, rhinos or other wildlife.
Our guides will use their knowledge and experience to provide the best possible wildlife experience while respecting park regulations and animal welfare.
8. Responsible Wildlife Viewing
AGAMA Tours is committed to responsible wildlife tourism.
Guests are expected to:
- Maintain appropriate distances from wildlife.
- Follow the instructions of the safari guide.
- Remain inside the vehicle where required.
- Avoid feeding or attempting to touch wild animals.
- Avoid loud or disruptive behaviour.
- Never pursue wildlife in a reckless manner.
- Respect park speed limits and conservation regulations.
- Avoid actions that disturb animals or their habitats.
The welfare of wildlife takes priority over obtaining a photograph.
9. Sustainability & Conservation
AGAMA Tours seeks to operate tourism in a manner that contributes positively to Tanzania's natural and cultural heritage.
Our approach may include:
- Supporting conservation areas and protected landscapes.
- Working with local guides, suppliers and communities.
- Reducing unnecessary plastic and waste.
- Encouraging responsible water and energy use.
- Promoting respectful cultural interactions.
- Supporting locally owned businesses where practical.
- Encouraging guests to travel responsibly.
Sustainability initiatives and community contributions may vary according to the safari programme and destination.
Where a specific sustainability contribution is included in a safari package, it will be identified in the booking information.
10. Community & Cultural Respect
Tanzania is home to diverse communities and cultures.
Guests are expected to interact respectfully with local communities and cultural sites.
Photography of people should be undertaken respectfully and, where appropriate, only after permission has been obtained.
AGAMA Tours does not support exploitative tourism practices, inappropriate treatment of children or activities that compromise the dignity of local communities.
11. Children & Safeguarding
AGAMA Tours is committed to safeguarding children and vulnerable people encountered during our operations.
Guests must not:
- Photograph children inappropriately.
- Give money, gifts or food directly to children without guidance from AGAMA Tours.
- Encourage begging.
- Engage in inappropriate physical contact.
- Enter restricted community or child-protection spaces without authorization.
Where guests wish to support a community or educational initiative, AGAMA Tours can recommend appropriate and responsible channels.
12. Health & Fitness
Guests are responsible for informing AGAMA Tours of any medical, dietary, mobility or other requirements that may materially affect their safari.
Some safari environments involve:
- Rough roads
- Long driving periods
- Walking
- Uneven terrain
- Heat and sun exposure
- Remote locations
- Limited access to medical facilities
Guests should seek appropriate medical and travel advice before travelling to Tanzania.
13. Travel Insurance
Comprehensive travel insurance is strongly recommended and may be required for certain safari arrangements.
Insurance should provide appropriate coverage for:
- Medical expenses
- Emergency evacuation
- Trip cancellation
- Trip interruption
- Lost or damaged baggage
- Personal belongings
- Travel delays
AGAMA Tours is not responsible for losses that should reasonably be covered by the guest's travel insurance.
14. Visas & Travel Documentation
Guests are responsible for ensuring that they hold:
- A valid passport
- Appropriate Tanzanian visa or entry authorization
- Required travel documentation
- Any vaccinations or health documentation required by the relevant authorities
AGAMA Tours may provide general travel guidance but cannot accept responsibility for a guest being denied entry because of incomplete or invalid documentation.
15. Accommodation
AGAMA Tours works with a range of safari lodges, camps, hotels and other accommodation providers.
Accommodation is subject to availability.
Where the exact property becomes unavailable, AGAMA Tours may offer an alternative of a similar standard and location, subject to availability.
Any material price difference will be communicated before the change where reasonably possible.
16. Dietary Requirements
Guests should communicate dietary requirements or allergies before travel.
AGAMA Tours will communicate these requirements to relevant accommodation and food providers.
While reasonable efforts will be made to accommodate dietary needs, AGAMA Tours cannot guarantee that every supplier will operate a completely allergen-free environment.
17. Private Safari Vehicles
For private safaris, the vehicle is normally reserved exclusively for the travelling party as specified in the booking.
Vehicle type and seating arrangements will depend on the confirmed itinerary.
Guests must follow the driver's safety instructions and must not request unsafe driving practices, illegal off-road driving or activities that violate park regulations.
18. Luggage
Guests should travel with luggage appropriate for safari vehicles and domestic flights where applicable.
For small aircraft transfers, strict baggage limits may apply.
AGAMA Tours will communicate applicable luggage restrictions where relevant.
Guests are responsible for their personal belongings.
19. Personal Belongings
Guests should take reasonable care of passports, money, electronics, cameras, jewellery and other valuables.
AGAMA Tours cannot accept responsibility for loss or damage to personal belongings unless caused by proven negligence or misconduct by AGAMA Tours or its representatives.
20. Alcohol & Personal Conduct
Guests are expected to behave respectfully throughout their journey.
Excessive alcohol consumption, dangerous behaviour, harassment, discrimination, violence or conduct that places other guests, staff, wildlife or communities at risk will not be tolerated.
AGAMA Tours may terminate services where a guest's behaviour creates a serious safety or operational concern.
No refund will necessarily be available where services are terminated because of serious misconduct.
21. Force Majeure
AGAMA Tours will not be liable for failure or delay in providing services caused by circumstances beyond reasonable control.
These may include:
- Severe weather
- Natural disasters
- Wildfires
- Flooding
- Disease outbreaks
- Government restrictions
- Civil disturbances
- Road closures
- Changes to conservation regulations
- Strikes
- Transport disruptions
- Acts of terrorism
- Other extraordinary circumstances
AGAMA Tours will make reasonable efforts to assist guests and arrange practical alternatives where possible.
22. Liability
AGAMA Tours will provide services with reasonable care and professional diligence.
However, safari travel involves inherent risks associated with wildlife, remote environments, roads, weather and adventure travel.
To the extent permitted by applicable Tanzanian law, AGAMA Tours is not responsible for losses arising from circumstances beyond its reasonable control.
Nothing in these Terms & Conditions excludes liability that cannot legally be excluded under applicable law.
23. Complaints
We encourage guests to raise concerns as soon as they arise so that AGAMA Tours has a reasonable opportunity to address them during the safari.
Complaints should first be directed to the safari guide or AGAMA Tours representative.
If the matter cannot be resolved during the trip, guests should submit a written complaint as soon as reasonably possible after returning home.
AGAMA Tours will review legitimate complaints fairly and professionally.
24. Photography & Storytelling
With guest permission, AGAMA Tours may request photographs, videos or testimonials for marketing purposes.
No guest image, name or testimonial will be used for promotional purposes without appropriate permission.
Guests remain responsible for respecting photography restrictions imposed by national parks, communities, accommodation providers and other authorities.
25. Sustainable Travel Commitment
AGAMA Tours believes luxury and sustainability can exist together.
Our definition of luxury extends beyond accommodation. It includes:
exceptional guiding, meaningful encounters, responsible wildlife viewing, respect for communities, conservation of landscapes and the freedom to experience Tanzania with purpose.
We continually seek to improve our environmental and social practices and to work with partners who share these principles.
26. Governing Law
These Terms & Conditions are governed by the applicable laws of the United Republic of Tanzania.
Any dispute will, where possible, first be addressed through good-faith discussion between the guest and AGAMA Tours.
27. Acceptance of Terms
By confirming a safari with AGAMA Tours, the guest acknowledges that they have read, understood and accepted these Terms & Conditions.
The specific quotation and booking confirmation issued for each safari form part of the contractual arrangement between the guest and AGAMA Tours.
